The challenge
A brokerage with 8 agents was running lead ads on Meta. The ads worked — too well. Agents were drowning in 100+ raw form fills per week, most of which were tire-kickers, timeline-not-urgent, or way outside their price band.
Manual triage took each agent ~2 hours/day. Good leads sat for hours before anyone called.
What we built
We built a two-stage qualifier:
- Stage 1 (instant): the form fill triggers a short AI conversation over WhatsApp — 3 quick questions about timeline, budget, and area. The agent responds like a human, mid-second, 24/7.
- Stage 2 (routed): only leads that match the brokerage's qualification rules get pushed to an agent's HubSpot view with a pre-written briefing and a pre-filled Calendly link.
Unqualified leads get nurtured into a long-term sequence. Nothing gets dropped.
