The challenge
A Gurgaon-based luxury real estate brokerage serving clients across Delhi NCR was receiving ~800 portal leads per month (Magicbricks, 99acres, Housing.com, NoBroker) plus walk-ins and referrals. SDRs were spending most of their time calling "browsers" who had no serious intent, while genuinely qualified buyers — the ones ready to purchase within 90 days — were getting the same canned outreach.
Site visits were happening, but conversion-from-visit was poor because many visitors were curiosity-driven, not budget-ready. Senior brokers were frustrated — they'd drive 45 minutes to show a property to someone who wasn't serious.
The brokerage wanted to pre-qualify leads aggressively before any human time was spent.
What we built
Arthat built a WhatsApp-first buyer qualification agent:
Instant WhatsApp engagement: Within 2 minutes of a portal lead coming in, the agent sends a personalized WhatsApp message — not a generic "thanks for your interest" but a tailored one referencing the specific property or search criteria. The agent introduces itself honestly as an automated assistant from the brokerage, asks a few qualifying questions, and initiates a conversation.
5-question qualification: Through natural conversation (not a form), the agent gathers the 5 things that determine whether a lead is worth a broker's time:
- Budget range (serious or exploratory)
- Purchase timeline (0–3 months, 3–12 months, 12+ months, just browsing)
- Financing status (pre-approved, in process, self-funded, undecided)
- Location preferences (specific neighborhoods, willing to drive, flexible)
- Decision-making authority (self, spouse, family, need to convince)
The conversation feels natural — the agent doesn't rattle off a list, it weaves questions into context-aware replies.
Real-time scoring + routing: Each lead gets a score. High scores (serious, ready buyers) go immediately to the most senior available broker, with Slack + CRM notifications. Medium scores go into nurture. Low scores (browsers, wrong-fit) get politely thanked and added to a "check back in 3 months" cadence.
Bilingual support: Hindi + English, with occasional Punjabi for NCR-local clients. Switches language to match how the lead writes.
Nurture over the long cycle: For medium-score leads, a 3-month nurture flow runs — new listings matching their criteria, local market reports, ROI content, scheduled check-ins. When a nurture lead shows purchase intent (replies with interest, clicks links, visits the website again), the agent re-engages and re-qualifies.
Post-visit follow-up: After every site visit, the agent sends a tailored follow-up thanking them, answering follow-up questions raised during the visit (recorded by the broker), and suggesting next steps.
